Resignation letter with an early release request

In India, a new employer often wants you sooner than your notice period allows. You can ask in the resignation letter itself: give the last day your notice sets, the day you would like to leave, and what you offer for the days short.

  • State both dates: the last day your notice gives and the day you are asking for.
  • Offer what you can: unused leave against the notice, a buyout, or a complete handover by the earlier date.
  • Your employer decides. Until they agree in writing, plan to serve the full notice.

Sets the letter format: India uses “To, The HR Manager” and a subject line, the UK and US do not.

About you

The last line of the address block.

Who it is addressed to

With no name, the letter is addressed to The HR Manager and opens “Dear Sir/Madam”.

Notice and your last working day

Usually the day you hand it in. Your notice is counted from this date.

Notice period in your contract

Not sure? The letter states no date and asks your employer to confirm your last working day.

Only if you have already agreed a date, or brought one from the notice period calculator. It replaces the notice period.

Reason and tone

Changes the handover paragraph.

90 days' notice, asking to leave on 31 December with leave and a buyout offered.
Date: 22 October 2026

To,
Mr. Arvind Krishnan,
Director of Engineering,
Brightwave Technologies Pvt Ltd,
Chennai.

Subject: Resignation from the post of Lead Engineer (Employee ID: BW-1188)

Dear Mr. Krishnan,

Please accept this letter as formal notice of my resignation from the post of Lead Engineer in the Platform department at Brightwave Technologies Pvt Ltd. In line with my notice period of 90 days, I propose Wednesday, 20 January 2027 as my last working day, subject to confirmation.

I have accepted an offer for a new role.

I would like to request an early release, with Thursday, 31 December 2026 as my last working day instead of Wednesday, 20 January 2027. I am happy for my unused leave to be adjusted against the remaining notice period. If needed, I am willing to pay the notice period buyout for the remaining days, as per company policy.

Before my last day, I will hand over my ongoing work, files and contacts. Please let me know who will take over my work, so that we can plan the handover.

Thank you for the opportunities I have had at Brightwave Technologies Pvt Ltd and for the support of the team during my time here.

Please let me know the exit formalities. I would also request you to issue my relieving letter and experience certificate, and to process my full and final settlement.

I wish Brightwave Technologies Pvt Ltd continued success.

Yours sincerely,
Karthik Subramanian
Lead Engineer, Platform
Employee ID: BW-1188

How early release works

Your employer can agree to let you go early, and how is set by your appointment letter or HR policy. The usual arrangements are to waive the remaining days, to set unused earned leave against them, to recover pay for the days short from your full and final settlement (the buyout), or a mix of these.

Working out the buyout

Buyout is the days short multiplied by a per-day rate. With 90 days' notice from 22 October 2026, the notice ends on Wednesday, 20 January 2027. Leaving on 31 December 2026 leaves 20 days short. At a basic pay of INR 60,000 a month and a rate of monthly pay divided by 30 (INR 2,000 a day), the buyout is INR 40,000.

Some employers divide by the days in the month, or by 26 with Sundays left out, and some use gross pay. The notice period calculator works out each way, and sets leave against the days short.

Making the request easy to say yes to

  • Ask in the resignation letter, not in your last week.
  • Attach a handover plan with dates, and name who could take over each piece of work.
  • Offer to answer questions for a short time after you leave.
  • Be flexible: a release one week later than you asked is still a win.

If the answer is no

Serve the notice, or ask your new employer to move your joining date. Do not stop coming to work: leaving without release can cost you your relieving letter and the notice pay from your final settlement.

Questions

Common questions.

How do I ask for early release in a resignation letter?
In its own paragraph: give the day you would like to leave, the last day your notice sets, and what you offer for the days in between, such as unused leave or a buyout as per policy.
Can my company refuse early release?
Yes. Early release is at your employer's discretion under your appointment letter and HR policy. If they refuse, you serve the full notice.
Is notice buyout calculated on basic or gross salary?
It depends on your employer. Your offer letter or HR policy says which. Enter that amount in the notice period calculator to see the figure.
Can I adjust leave against my notice period?
Only if your employer agrees. Some set unused earned leave against the days short; others pay the leave out in your full and final settlement instead.
