Separate coordination from specialist authority
Checking a document pack is not the same as acting as a customs broker or approving a regulated shipment. Use verbs that reflect your role: prepared, checked, tracked, followed up or escalated. If you supported import or export work, state which documents you handled and who reviewed them. Avoid making claims about customs compliance or clearance authority that go beyond your responsibilities. The reader should understand how you contributed without having to guess which decisions belonged to another specialist.
Use delivery measures carefully
On-time delivery depends on the agreed definition, reporting period and shipment population. Do not quote a percentage unless you know what counted as on time and which deliveries were included. The sample instead measures missing proof-of-delivery records at month end, a documentation issue the coordinator could influence directly. You can also describe fewer unassigned exceptions, clearer collection updates or faster document retrieval. Keep the result separate from freight cost savings unless you actually measured a financial change.
Show how you handled an exception
A delayed collection, damaged delivery or missing reference creates a useful example of coordination. Explain what you checked, which team you contacted and how you kept the next person informed. You do not need to publish customer names, tracking numbers or private commercial terms. A clear anonymised example can show more judgement than a broad claim that you solved all shipment problems. Include the limit of your responsibility when claims, credits or revised delivery promises needed approval.
