Prepare for pharma documentation roles with questions on controlled copies, version changes, batch records, corrections, retrieval and audit support.

This guide focuses on pharmaceutical documentation roles. It does not claim to cover every role in the pharma industry. Prepare examples of controlled-document work, record checking and discrepancy handling, using the applicable site procedures and the responsibilities stated in the vacancy.

Prepare a specific example

Use a fictional SOP revision to demonstrate a document register: identifier, version, owner, approval, effective date and controlled distribution. Explain how you would account for old copies and training. Do not present a practice document as an approved manufacturing instruction.

Interview questions & answers

Document control

1.What is the purpose of document control?

It helps people use the correct approved information and preserves a traceable record of changes. Explain how identifiers, versions, approvals and distribution work together in the site’s system. A neatly formatted document is not controlled merely because it has a version number in the footer.

2.How would you process a revised SOP?

Follow the approved review and approval route, confirm the effective date and coordinate required training and distribution. Identify affected documents and handle superseded copies through the site’s process. Record completion so an auditor can distinguish a proposed revision from the version people were authorised to use.

3.What is the difference between a master document and an executed record?

A master document provides the approved instructions or format for the relevant activity. An executed record captures what happened for a particular instance, such as a batch. Use the terminology defined at the site and explain how the issued version and completed record remain traceable to each other.

4.What if an obsolete printed instruction is found at a workstation?

Notify the responsible owner and follow the process for removing the obsolete copy and assessing whether it was used. Confirm the current approved version is available. Do not simply swap the paper and ignore the possibility that work was performed using outdated instructions.

Records

1.How should an incorrect record entry be handled?

Use the authorised correction process so the original information remains traceable and the correction is attributable and explained where required. Do not erase, overwrite or backdate an entry to hide the error. For electronic records, use the approved system controls and audit trail rather than editing an exported copy.

2.What would you do if a required batch-record entry was missing?

Flag the gap to the authorised reviewer and preserve the record. Any investigation or permitted late entry must follow the site’s procedure and accurately describe what is known. Do not complete the field from assumption or ask someone to sign for work they cannot substantiate.

3.How do you check a document before routing it for approval?

Use the defined review checklist for content, references, version, identifiers, units, attachments and approval responsibilities. Confirm linked forms and procedures are consistent. Formatting checks are useful, but technical accuracy must be reviewed by the appropriate owner rather than inferred from a clean layout.

4.How would you handle a discrepancy between a register and a controlled copy?

Compare the source records and issue history to establish which identifier, version or status is wrong. Follow the correction and impact-review process, then reconcile the register and affected copies. Preserve evidence of the discrepancy instead of changing both records until they agree without understanding the cause.

Electronic systems

1.Why should users not share document-system accounts?

Individual access supports attribution of changes and approvals. Shared credentials make it harder to establish who performed an action and weaken access control. Use the approved user-access process and report access problems rather than borrowing a colleague’s login to meet a deadline.

Retrieval

1.How would you respond to an auditor’s record request?

Confirm the requested scope, retrieve the authorised record and maintain any required request or access log. Explain missing or pending material honestly through the designated audit contact. Do not alter the record before presenting it or provide unrelated confidential material to appear helpful.

Retention

1.How do you decide how long to retain a record?

Use the approved retention schedule for that record type, product and applicable requirements, with the responsible quality or legal owner resolving uncertainty. Do not apply a remembered number to every document. Confirm that archiving preserves retrievability and that disposal requires the appropriate authorisation.

Role readiness

1.How can a fresher demonstrate documentation skills?

Show a clearly fictional document register, a version-change exercise and a checklist that catches an inconsistent reference or missing approval. Explain the difference between training familiarity and production-system experience. Careful checking, traceability and knowing when to ask for review are stronger evidence than claiming mastery of every regulatory system.
