Resume Format in India: The Complete Guide
The resume format that works in India in 2026: one page for freshers, two for experienced, reverse chronological, single column, no photo. What to keep, what to delete, and when a CV is the right document instead.
The short answer. Use a single-column, reverse-chronological resume. One page if you have under five years of experience, two pages above that. Standard section headings, no photo, no personal details beyond name, phone, email, city and LinkedIn. Save it as a PDF unless the employer asks for a Word file. Every other formatting decision follows from one rule: the first reader is a parser, and the second is a human giving you about seven seconds.
That answer is the whole guide in four sentences. The rest is why, and the edge cases where India differs from what a global template tells you.
The format, section by section
A resume that parses cleanly has these sections, in this order, with these names.
- Header. Name, phone, email, city and state, LinkedIn URL. Nothing else.
- Summary. Three to four lines. Who you are professionally, your strongest evidence, what you are targeting.
- Work Experience. Reverse chronological. Company, title, location, dates. Three to six bullets per role.
- Education. Degree, institution, year. Percentage or CGPA only if you are a fresher or it is genuinely strong.
- Skills. Grouped, not a wall. Tools, platforms, languages, domain skills.
- Certifications, Projects, Publications. Only where you have them and they are relevant.
Use those exact headings. "Professional Journey" and "My Toolkit" read as creative to a person and as nothing at all to a parser looking for the string "Experience".
One page or two
One page is the default under five years. Two pages is normal from roughly eight years upward. Three pages is almost never right and is the single most common structural problem in Indian resumes, because the convention many colleges teach is to list everything.
The test is not how long you have worked. It is whether page two carries evidence a hiring manager would act on. A second page of school marks, hobbies and a declaration is not a second page, it is a longer first page.
Reverse chronological, and the two exceptions
Most recent role first, always. Recruiters read the top of the experience section and stop if it does not match.
The two situations where people reach for a functional or skills-first layout are a career change and a long gap. Neither is solved by hiding the timeline. A functional resume signals that dates are being concealed, and experienced recruiters read it that way. Keep reverse chronological and handle the problem in the summary and the bullets instead.
Single column, and why two columns fail
A two-column layout looks designed and parses badly. Applicant tracking systems read a page as a stream of text. When a parser hits two columns it frequently interleaves them, so your skills list ends up spliced through your job titles and the resume becomes unreadable to the system that decides whether a human ever sees it.
The same applies to tables, text boxes, headers and footers, and text placed inside an image. If the information matters, it belongs in the body of the document as plain text.
You can check what a parser actually extracts from your file with the free resume review. It shows you the parsed text, which is the version that gets scored.
Fonts, spacing, and file format
- Font: one family, 10 to 12 point for body text. Calibri, Arial, Helvetica, Garamond, Times New Roman. Any of them is fine. Mixing three is not.
- Margins: 0.5 to 1 inch. Below 0.5 inch the page reads as crammed and prints badly.
- Colour: optional and minor. One accent colour for headings at most. A colour block behind text is a parsing risk.
- File name: `Firstname-Lastname-Resume.pdf`. Not `resume_final_v3.pdf`.
- File type: PDF, unless the posting or the recruiter asks for `.docx`. Some older Indian job portals and staffing firms genuinely prefer Word, and that request is worth honouring.
What to delete from an Indian resume
These conventions are standard in India and actively cost you interviews with MNCs, Big 4, product companies and any global role.
| Element | Keep? | Why | |---|---|---| | Photograph | No | Not requested in most corporate hiring, and it breaks many parsers | | Date of birth | No | Not relevant to the decision | | Marital status | No | Not relevant to the decision | | Father's or husband's name | No | Not relevant to the decision | | Religion, caste, nationality | No | Not relevant to the decision | | Full postal address | No | City and state are enough | | Declaration statement | No | Nobody reads it and it dates the document | | "References available on request" | No | Assumed. It costs a line for nothing | | Passport number | No | Share it when an employer asks, never on the document |
There are real exceptions. Government and PSU application formats, some academic posts, and a handful of overseas roles genuinely require date of birth, passport details or a photograph because the application form asks for them. Follow the form when there is a form. Do not carry the form's requirements into the resume you send everywhere else.
Personal details are the single most searched question in Indian resume writing, so each of them is covered in detail in the personal details guide.
Resume, CV, biodata: which document you actually need
The three words are used interchangeably in India and they are not the same document.
Resume. One to two pages, targeted at a specific role, achievement-led. This is what you send for almost every corporate job in India and abroad.
Curriculum vitae. Long form, complete, no page limit. Used for academia, research, medicine and most fellowship and grant applications. It lists every publication, conference, course taught and grant held. In the UK, Ireland, Australia, New Zealand and much of Europe, "CV" is simply the word used for what an Indian or American employer calls a resume, so read the country before you read the word.
Biodata. A personal-details-first format, historically used for matrimonial purposes and some government applications. It leads with date of birth, family details and marital status. It is not a job-search document for corporate hiring and should not be sent as one.
If a job posting in India asks for a "CV" for a corporate role, send a resume. If a university asks for a CV, send a CV.
Fresher format: what changes
A fresher resume is the same document with the order changed. You have no work history to lead with, so evidence has to come from somewhere else.
- Education moves up, directly under the summary, until you have a year of full-time work.
- Projects are your experience section. Write them like jobs: what you built, the stack or method, and what came of it. A capstone project with a measurable outcome outranks a generic internship line.
- Internships and training count as work experience once you write them with results rather than duties.
- Percentage or CGPA belongs on the resume while you are a fresher, and comes off once you have two or three years behind you.
- One page. No exceptions. A fresher resume on two pages is padding, and it reads as padding.
The full version of this, including what to do with no internships at all, is in the fresher resume guide.
The formatting errors that actually cost interviews
- Two columns, which parse as interleaved nonsense.
- Contact details inside the header or footer region of the document, where many parsers never look.
- Dates written inconsistently: `Jan 2023`, `01/2023` and `2023-01` on the same page.
- Bullets that start with "Responsible for". That phrase describes a job description, not a person.
- A skills section that lists Microsoft Word.
- Page two containing nothing but marks from Class 10 and a declaration.
Check the format before you send it
Formatting is the part of a resume you can verify rather than guess at. Run the file through the free resume review: it parses the PDF the way an applicant tracking system does, shows you what survived, and flags the structural problems above by name. It is free, it needs no account, and it takes about a minute.
Then look at how the format holds up on a real document in your field. The resume samples library has published examples across engineering, finance, teaching, healthcare, IT and BPO roles, each one written in the format described here.
