Resume Keywords by Industry: Use Evidence, Not Lists
Choose resume keywords for administration, IT, engineering, marketing and finance. Connect each term to real work and avoid unsupported keyword scores.
The best resume keywords for an application come from the actual vacancy and your own relevant experience. An industry list can prompt ideas, but it cannot establish which skills you have or how an employer will rank an application. Start by separating the advert's required qualifications, tools, responsibilities and outcomes. Then identify where your resume already provides evidence for each relevant item.
Use a three-column evidence check
Write the requirement, your real example and the place it belongs in the resume. For instance, spreadsheet reporting might map to a weekly exception report in an operations placement. If you have only studied a tool, put it in a clearly labelled project or training context. If you have no evidence, leave it out rather than adding the term to an unqualified skills list.
The examples below are editorial prompts, not universal employer requirements. All worked bullets are fictional. Use only the terms that accurately describe your own work, and follow the wording of the vacancy where it is a truthful match.
Administration and office assistance
Possible terms include calendar coordination, document control, records management, meeting minutes, invoice processing and spreadsheet reporting. The right selection depends on whether the job supports executives, a reception desk, operations or another team. Do not treat basic spreadsheet use as advanced financial analysis.
Fictional evidence: Maintained a shared appointment register and checked incomplete booking details before the weekly schedule was issued. This demonstrates coordination and record checking. A different example might show preparing meeting notes and tracking agreed actions. Keep the actual task visible instead of adding a line of unrelated office software.
IT and software development
Choose the language, platform and engineering practices used in the target role. Terms such as Python, Java, REST APIs, SQL, regression testing or incident investigation need a real context. Backend development, help-desk support and cybersecurity are different specialisms. A generic IT keywords list should not blur them together.
Fictional evidence: Added regression tests around an API's invalid input cases and documented the expected error responses for the consuming team. This connects testing and API work to a specific change. Do not claim production experience from a tutorial or imply ownership of an entire architecture because you implemented one endpoint.
Electrical engineering
Relevant terms might concern circuit design, electrical drawings, testing, maintenance or project documentation, depending on the vacancy. Use the standards, tools and equipment you actually worked with. Distinguish supervised student work from professional design approval. Do not claim a registration, permit or sign-off authority you do not hold.
Fictional evidence: Updated the test record for a supervised laboratory prototype and documented the readings that differed from the expected range. That is suitable evidence of careful project work. It does not imply responsibility for certifying an installed electrical system.
Marketing and business development
Marketing roles may emphasise campaign planning, content briefs, audience research, channel reporting or product positioning. Business development may involve prospect research, account qualification, proposal coordination and pipeline records. Select the function you performed rather than treating all commercial terms as interchangeable.
Fictional evidence: Prepared a weekly campaign report that separated clicks, enquiries and qualified leads using the team's agreed definitions. For business development: Maintained prospect research notes and tracked the next agreed action for each qualified account. Neither example claims that one person caused every sale recorded by the business.
Finance and wealth management
Potential terms depend on the role: financial reporting, reconciliation, valuation, portfolio reporting, client documentation or risk analysis may be relevant. Separate operational support from regulated advice and decision authority. A wealth-management support role should not be presented as independent investment advice unless that accurately describes your authorised work.
Fictional evidence: Reconciled figures in a client review pack to the approved portfolio report and flagged two inconsistencies for the adviser. This shows checking and escalation. It does not claim a return on investment or responsibility for the client's portfolio decisions. Keep private client details out of the resume.
Product management and employer-specific searches
Searching for Microsoft product-manager keywords cannot reveal a universal private hiring formula. Use the particular vacancy and its level. Evidence may concern customer research, prioritisation, product requirements, experiments or delivery coordination. Identify the product problem, your decision and the outcome you can support. Do not add an employer's name to your skills or imply employment there to match a search phrase.
Fictional evidence: Compared support-ticket themes with interview notes, proposed two onboarding changes and documented the team's prioritisation decision. That shows analysis and collaboration. A product launch or revenue claim needs additional evidence and accurate attribution.
Integrate terms into readable sentences
Place a skill in the skills section when appropriate, then show its use in experience or a project. Do not repeat the same phrase unnaturally, paste the whole advert or hide text in the document. An exact wording match can help clarify relevance, but a keyword count is not a hiring probability or an official ATS score.
Compare the vacancy with your own evidence. Add relevant terminology only when it describes work you can explain. A matching word is useful context, not proof that an employer will shortlist the application.
